Switching Telephone Answering Providers: A Checklist

Plan a switch of answering service: check your current arrangements, agree the new greeting, change call diversion and test email message delivery.

1. Check the current arrangement

Review your existing service agreement, billing arrangements and control of your phone number. Confirm the steps required to end or change the service with the current provider. Do not switch off existing cover before the replacement is ready.

A busy accountancy practice should decide who checks messages during the changeover. Use the setup and message-delivery process to plan the test calls, and confirm the new package and call allowance before cancelling existing cover.

2. Agree what the new service will do

List the coverage hours and tasks you need. If your existing provider books appointments or transfers calls, decide how your own team will handle those tasks when moving to a message-taking service. 247PA provides caller details and messages by email.

3. Prepare the greeting and recipients

Provide your business name, preferred greeting and the email address that should receive messages. Decide who checks that inbox and who owns each callback. Discuss expected call volumes so the agreed package matches your requirements.

4. Arrange the changeover

For 247PA: Go live within 72 hours once we have your required business details, agreed greeting and confirmed call-diversion arrangements. Setup is free. Agree the start time before changing diversion. Your telephone provider or system administrator should confirm the available settings and any charges.

5. Test before relying on the new route

Call from a different phone and check the agreed diversion condition, business greeting and email delivery. Test the relevant busy and out-of-hours settings. Keep a record of the previous settings so your provider can help resolve a problem.

6. Review the first messages

Check that the right people receive clear messages and understand responsibility for follow-up. Discuss changes to the greeting or expected usage with your account manager. A successful switch depends on your internal response process as well as the call route.

Your questions, answered.

Do I need to change the number customers call?

Not necessarily. Call diversion can route calls from your existing number. Check ownership, compatibility and settings with your telephone provider before changing services.

Will 247PA cancel my old service?

No. You manage your existing agreement and confirm any required cancellation or change directly with that provider.

What should I test after switching?

Test the diversion, greeting and message email delivery. Also check any busy, unanswered or out-of-hours conditions you intend to use.
