How Call Diversion Works with an Answering Service
Call diversion sends an incoming call from your existing number to another destination. For an answering service, the important decision is when that diversion should happen: for all calls, when you are busy or when you do not answer.
Understand the different conditions
All-call diversion routes incoming calls onwards without first waiting for you to answer. Busy diversion applies when the line is engaged. Unanswered-call diversion applies after a configured ringing period. Availability and terminology vary between providers and systems.
As one provider example, BT documents all-call, engaged and unanswered-call diversion for its home-phone services. That does not establish how your business line works. Use the instructions for your own provider, account and telephone system. Read BT’s call-diversion guidance.
A garage answering calls around workshop jobs may need a different ringing delay from an office. Agree the sequence using the 247PA setup process, then check which overflow answering arrangements your telephone provider supports.
Agree the service before routing calls
Discuss your business name, greeting, coverage and message email address with your account manager. Confirm the destination details and the arrangements for starting the service before changing your phone settings.
For overflow cover, ask whether you want your own phone to ring first. For out-of-hours cover, define the hours you need and how you will manage exceptions such as bank holidays. Some systems use schedules; others require a manual change. Do not assume a particular method is available until it has been checked.
Check charges and interactions
Your telephone provider may charge for a diverted call. Check your plan, the destination number and any allowances directly with the provider. Free setup from 247PA does not establish what your telephone provider charges.
Also ask how diversion interacts with voicemail, call waiting or an existing reception system. If voicemail answers first, the call may not reach the intended destination. Your provider or system administrator can confirm the order in which your settings apply.
Test the caller’s journey
- Make a test call from a different phone.
- Check what happens when your business line is available, engaged and unanswered.
- Confirm that the intended greeting is used.
- Check the message reaches the agreed email address.
- Confirm how to change or disable the diversion when needed.
Repeat the relevant checks after changing hours or telephone arrangements. This is a practical setup checklist, not a substitute for instructions from your phone provider.
