Human vs AI Receptionists: What Should a Small Business Consider?
A human receptionist is a person taking the call. An AI receptionist uses software to conduct the conversation. Compare what each provider actually does, how it handles unfamiliar requests and what your business receives afterwards.
Separate the technology from the service scope
The word receptionist can describe very different products. A provider may offer simple message-taking, appointments, transfers or a combination of human and automated answering. The technology label alone does not establish which tasks are included.
For example, Moneypenny markets an AI receptionist alongside human support and other call-handling features. That is a provider-specific offering, not a capability that should be assumed for every AI service. See Moneypenny’s description of its AI receptionist.
For small businesses choosing answering cover, test whether each option produces a message the team can act on. Compare 247PA’s human telephone answering service with the tasks an automated provider actually offers, and check the price for your expected call volume.
Try calls that resemble your own enquiries
Use a straightforward enquiry first, then one where the caller changes their mind or gives an incomplete explanation. Ask to see the resulting message. Is it faithful to the request? Does it separate what was said from assumptions? What happens if a detail is missing?
Apply the same questions to a human service. A person on the line still needs an agreed scope, a clear greeting and a useful way to pass the message on. Neither approach should be assessed on a polished demonstration alone.
Ask what happens outside the agreed scope
A caller may ask for a price, a booking or advice that the service is not authorised to provide. Ask how that situation is handled and what the caller is told. If human escalation is offered by an automated provider, check what it includes and when it is available.
Also ask how call information is handled, whether calls are recorded and what controls apply to access and retention. These are questions to put to each provider; the presence of a person or software does not by itself answer them.
Choose around your business’s actual needs
Compare availability, caller experience, message quality, scope and the final price for expected use. Avoid assuming that every automated option is cheaper or every human option has the same capabilities.
247PA offers human answering by UK-based operators, available 24/7. We greet callers in your business name, take their details and message, and email your business. We do not offer an AI receptionist, transfers or appointment booking. If you want a person to receive the enquiry and your team to handle the response, that is the service to evaluate.
